Here's the exact document list Ontario lenders want for a mortgage pre-approval — and the one rule most buyers have never heard of (the 90-day paper trail) that causes more delays than everything else combined. The core list (almost everyone needs these)

The 90-day paper trail: the rule nobody warns you about
Canadian lenders must trace where your down payment came from — it's an anti-money-laundering requirement, not the lender being nosy. In practice that means 90 days of statements for every account the money touched, full pages, with your name and account number visible (no cropped screenshots).
Every large deposit inside that window needs a story: a bonus (pay stub), a transfer from your other account (that account's statement too), the sale of a car (bill of sale), or a family gift — which brings us to the gift letter.
The #1 avoidable delay I see: moving money between accounts a week before applying. Every hop adds another statement to collect. Park your down payment in one account early and let it sit still.
Gifted down payment? You'll need a gift letter
Gifts from immediate family are common and completely acceptable. The lender wants a signed gift letter from an immediate family member stating the amount, the relationship, and that the money is a true gift with no repayment expected — plus proof the funds have landed in your account (subject to the lender's approval). Using RRSP money through the Home Buyers' Plan instead? You'll need the RRSP statements and withdrawal paperwork. It's a 10-minute document; I'll give you the template.
Self-employed? Your list looks different
Working for yourself doesn't lock you out — it changes the paperwork. Alongside the personal items above, the self-employed file adds: 12 months of business bank statements (for every business, with account ownership visible), two years of business financial statements (with a Notice to Reader from an accredited accountant), your business registration, licence or articles of incorporation, and GST/HST returns for two reporting periods. On contract? Bring your last three years of contracts too.

Many lenders run new-to-Canada programs that accept alternative proof of credit — 12 months of rent and utility payments, international credit reports where available — alongside your work permit or PR card and Canadian employment. Applying for new credit mid-process. A new car loan or financed furniture changes your ratios overnight — wait until after closing. Changing jobs right before applying — lenders love stability; if a move is coming, let's time the application around it. Sending cropped screenshots instead of full statements — it all gets re-requested, costing you days. Ignoring CRA balances — owed taxes show on your NOA and some lenders want them cleared first.

Most lenders hold your rate for up to 120 days. If rates fall during that window, you generally get the lower rate; if they rise, you're protected. If your search runs longer, we simply refresh it.
Is a pre-approval a guarantee?
No — and anyone who says otherwise is selling something. Final approval depends on the property itself and your finances staying stable between now and closing. That's exactly why the mistakes list above matters: the fastest way to lose a pre-approval is to change the picture it was based on.
